Edinburgh Stag & Hen Co ("we", "us") organises stag and hen weekends in Edinburgh. This policy explains what personal data we collect through edinburghstag.com, why we collect it, and the rights you have over it. We are the data controller for the data described here and we handle it in accordance with UK data protection law, including the UK GDPR.
This page is published in several languages for convenience. The English version is the authoritative one; if a translation differs from the English text, the English text prevails.
1. What we collect
When you request a quote we collect the details you give us on the booking form: your name, email address, phone number, group size, trip dates, the activities and accommodation you selected, any notes you add, and the language you browsed the site in.
When you accept a proposal we record the name you type as your signature, the date and time, your IP address, and a copy of the contract terms you agreed to. We keep these to evidence the agreement.
When you pay the payment is processed by Stripe. We receive confirmation that you paid and the amount; we never see or store your card details. Stripe's handling of your data is described in their own privacy policy.
When you browse the site, if you accept analytics cookies in our cookie banner, we use Google Analytics (provided by Google) to understand how the site is found and used. Google Analytics sets cookies and collects information such as the pages you visit, how you arrived, your approximate location (derived from your IP address), and your device and browser type. If you decline, no analytics cookies are set and we collect no analytics data. We use no advertising trackers, and you can change your choice at any time using the Cookie preferences link in the site footer.
2. Why we use it, and the legal bases
- To answer your enquiry and prepare your proposal: necessary to take steps at your request before entering a contract.
- To run your booking (confirmations, balance reminders, trip arrangements with our suppliers): performance of our contract with you.
- To evidence the signed agreement (signature name, IP address, terms snapshot): our legitimate interest in being able to prove what was agreed.
- To keep accounting records of payments: our legal obligations under UK tax law.
- To understand how the site is used (analytics): your consent, given through our cookie banner, which you can withdraw at any time.
We do not send marketing emails. The only emails you receive from us concern your own enquiry or booking.
3. Who we share it with
We use a small number of service providers to run the site and your booking, each acting on our instructions:
- Supabase: database hosting (your enquiry and booking details).
- Stripe: payment processing.
- Resend: sending our transactional emails (EU region).
- Vercel: website hosting.
- Google Analytics (Google): website analytics, used only if you accept analytics cookies; Google may process this data in the United States under the transfer safeguards noted below.
We share with our local suppliers (venues, activity providers, accommodation) only what they need to run your event: typically the Group Contact's name, group size and dates. Some providers may store data outside the UK; where they do, transfers are protected by recognised safeguards such as the UK Addendum to the EU Standard Contractual Clauses. We never sell your data.
4. How long we keep it
We keep enquiry details that do not become bookings for up to 2 years, in case you come back to us. Booking records, signed agreements and payment records are kept for 6 years after the event, as required for UK tax and accounting purposes, then deleted.
5. Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal data we hold about you;
- correct inaccurate data;
- delete data we no longer need to keep;
- restrict or object to our use of your data;
- provide your data in a portable format.
To exercise any of these rights, email us at info@edinburghstag.com. We respond within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ico.org.uk).
6. Cookies
We use two kinds of cookies:
- Strictly necessary cookies, set by our payment provider during checkout and by the admin area our team uses. These are always active and do not track you across the web.
- Analytics cookies, set by Google Analytics and only if you accept them in our cookie banner. They let us see how the site is used so we can improve it.
We also store your cookie choice in a small cookie so we do not ask again. You can change or withdraw your choice at any time using the Cookie preferences link in the site footer. We set no advertising cookies.
7. Changes to this policy
If we change this policy we will update this page and the date at the top. Significant changes affecting an active booking will be emailed to the Group Contact.
