Booking Terms & Conditions

These terms govern bookings made with Edinburgh Stag & Hen Co ("we", "us"), organisers of stag and hen weekends in Edinburgh and the surrounding areas. By requesting a quote, accepting a proposal or paying a deposit you agree to these conditions.

This page is published in several languages for convenience. The English version is the legally binding one; if a translation differs from the English text, the English text prevails.

1. Who "you" means

"You" means the person who completed the booking form (the Group Contact) and every member of the group on whose behalf they act. If the booking is made on behalf of a limited company and this is clear on the booking form, "you" means that company.

Once your deposit has been paid and your booking has been confirmed by our confirmation email, the Group Contact is obliged to pay us all monies due under this agreement, subject to the cancellation terms below. If other members of the group decide not to proceed, claim a refund, or are granted a refund by their card issuer, the Group Contact remains liable for the full amount. Payments received from individual group members are credited against the Group Contact's obligations.

2. How booking works

We respond to your enquiry with a written proposal and quote. No binding agreement exists until we receive a non-refundable deposit of 25% of the booking value. Final numbers must be confirmed and the balance paid at least 4 weeks before the event. If you book within 4 weeks of the event, payment in full is required at the time of booking.

Prices are quoted in pounds sterling (GBP). Payments are processed securely by Stripe; we never see or store your card details.

3. What we provide

We organise stag and hen weekends using suppliers and accommodation in Edinburgh and the surrounding areas. We act as organiser and agent for those suppliers.

4. Risk: our responsibility

Some events involve a degree of risk of physical injury or damage to property. We do not accept liability for the negligence of any other persons. Our agents and suppliers reserve the right to withdraw you from an event if you do not honour your behaviour obligations or are not, in their opinion, fit to participate. Some suppliers may require you to sign a disclaimer releasing them from liability; we will not be liable for any loss you suffer if you decline to sign such a disclaimer.

5. Risk: your responsibility

Our suppliers do all they reasonably can to reduce risk. Where they have done so and are not negligent, you take responsibility for the risks involved in participation. Many events require a good level of fitness. You should check with your doctor that you are sufficiently fit and healthy to participate. If any member of your group is under eighteen or has a medical condition that may affect their ability to participate, you must let us know before the event.

6. Behaviour

You agree to:

• behave at all times in a safe and courteous manner;
• obey the proper instructions of any supervisor or activity leader;
• dress and equip yourself suitably for any event;
• use safety equipment as instructed and not tamper with it;
• compensate our suppliers or us for any damage caused by you;
• pay any refundable security bond required on arrival at your accommodation.

Alcohol and drugs are strictly forbidden at events that require concentration; suppliers reserve the right to cancel your participation with no refund.

7. Damages

Any damage caused by the Group Contact or any participant will be charged directly to the Group Contact, including damage to suppliers' equipment, furnishings (including accommodation) and public areas. All participants are responsible for arranging their own insurance covering the risks of participation.

8. If you cancel

Any cancellation must be phoned in and confirmed by email by the Group Contact. Cancellation charges:

• more than 28 days before the event: 25% of the total package cost;
• between 28 and 15 days before the event: 50% of the total package cost;
• less than 15 days before the event: 100% of the total package cost.

A change to the date, timing or any element of the booking amounts to a cancellation of the original booking, and we reserve the right to apply these charges. We will always try to accommodate your requests.

9. If we cancel

If, in our discretion, the safety risks of an event are unacceptable, we reserve the right to cancel it and will make every effort to reschedule or provide an alternative. We do not refund where we cancel due to adverse weather. Otherwise, if we cancel we will refund all advance payments and will have no further liability. Our total liability is limited to the amount of advance payments you have made.

10. Changes

We reserve the right to substitute accommodation with other accommodation of similar quality. If an event becomes unavailable for reasons beyond our control, we will organise an alternative in consultation with you or make a proportional refund.

11. Website

The content of this website (text, photography, branding) is provided for your personal use in planning a trip with us and may not be reproduced for commercial purposes. We work to keep prices and descriptions accurate; the binding details of your trip are those set out in your written proposal.

12. Governing law

These terms and any agreement between us are governed by the law of Scotland, and the Scottish courts have exclusive jurisdiction over any dispute arising from them.
